3 Free AI Tools Every Malaysian HR Manager Should Use This Week
Most "best AI tools" lists are written for Silicon Valley product managers. Useful for them. Less useful for an HR manager in Petaling Jaya trying to write a performance review by 5pm.
So we did the work. We took 12 popular free AI tools, gave them five real HR tasks pulled from actual Malaysian companies, and graded them on Malaysian-context output, ease of use, and free-tier limits.
Three tools won. Here they are.
1. ChatGPT Free (chat.openai.com)
Best for: General-purpose HR drafting — emails, JDs, reviews, comms
Why it wins for Malaysian HR:
- Handles Bahasa Malaysia and English equally well
- Free tier now includes GPT-5 access (limited but real) — the quality jump from GPT-4 is significant for nuanced HR communication
- Memory feature means it remembers your company tone and policies across sessions
Try this prompt right now:
"Saya HR manager di syarikat manufacturing 200 staff di Selangor. Tolong draft policy email dalam BM dan English untuk announce flexible working arrangement starting next month. Tone: professional tapi warm. Length: 200 words."
Free tier limits: ~80 messages every 3 hours on GPT-5; unlimited on GPT-4o-mini fallback.
The gotcha: Don't paste confidential employee data. Use placeholders. Always.
2. Claude.ai Free (claude.ai)
Best for: Long documents — policy drafting, employee handbook updates, contract review
Why it wins for Malaysian HR:
- Handles documents up to 200,000 tokens (about 150 pages) on free tier
- More careful tone than ChatGPT — produces output that needs less editing for formal contexts
- Excellent at summarisation: paste a 30-page policy and ask "what changed from last version?" — it actually catches it
- Refuses to make up Malaysian legal references it doesn't know (this is a feature, not a bug)
Try this:
"Here's our current employee handbook [paste]. We just hired our first Sabah-based remote employee. What policies need updating, and what new clauses should we add? Provide specific section numbers."
Free tier limits: ~30 messages per 5 hours, depending on length.
The gotcha: No image generation, no web browsing on free tier. Works best for text-heavy work.
3. Google Gemini (gemini.google.com)
Best for: Anything involving Google Workspace — Sheets, Docs, Gmail, Calendar
Why it wins for Malaysian HR:
- Native integration with Google Workspace (which most Malaysian SMEs use)
- Free access to Gemini 2.5 Flash — fast, decent quality, generous limits
- Ask it to "build me a Google Sheet for tracking 50 candidates with these columns…" and it will actually do it
Try this in Gmail with the Gemini side panel:
"Summarise the last 10 emails from this candidate, extract dates we discussed for interviews, and draft a confirmation email for the most recent agreed time."
Free tier limits: Generous on Gemini 2.5 Flash. Limited on the more capable Gemini 2.5 Pro.
The gotcha: If your company uses Microsoft 365 instead of Google Workspace, Gemini is less compelling — go with Microsoft Copilot Free (different list, different post).
Which one should you start with?
If you have to pick one tool to learn this week:
- Generalist HR work → ChatGPT
- Heavy policy / legal-adjacent work → Claude
- Google Workspace shop → Gemini
The honest answer? Use all three. They're all free. Each one is better at different tasks. The HR managers who get furthest in 2026 won't be the ones who pick a winner — they'll be the ones who know which tool to reach for.
What to do today (15 minutes)
- Open all 3 tools in browser tabs
- Take one task that took you over 30 minutes last week
- Try each tool with the same prompt
- Note which gave the best output with the least editing
- Bookmark that tool. Use it for that task type going forward.
